General Conditions of Sale – Asia Safari Travel



Unless stated under a written agreement, Asia Safari Travel and its clients, whether individual or professional, agree to apply these general conditions of sale for all services provided by Asia Safari Travel to its clients. All services provided for individual clients of group clients, are governed by the General Conditions of Sale written below. These General Conditions of Sale are valid whatever the form of contract, written or oral, between Asia Safari Travel and its clients.


Article 1: Validity 

All our prices are provided to our clients, net and in US Dollars. They are valid according to the dates specified in the programmes and/or proposals submitted to our clients. Asia Safari Travel guarantees that the prices and/or rates provided to our clients are valid at the time of preparation and drafting of the proposal and/or invoice.

Article 2: Reservation and Confirmation

All reservations must be made directly with our office. Any confirmation of a reservation involves the payment of a deposit of 30% (thirty per cent) of the quoted price. The outstanding balance must be paid no later than 30 days (thirty days) before the commencement of services to be provided to our clients. Where this clause is not respected, Asia Safari Travel reserves the right to cancel all reservations without any refund of deposit or monies paid by our clients.

Article 3: Price

The quoted price includes all services specified in the programme namely: accommodation in a double or twin room (based on two people sharing), road and river transport (minibus & private boat) as specified in the itinerary routes, tours and excursions with a local guide at each stage. It excludes airport taxes (unless specified), charges for the provision of a visa or passport, tips, all personal expenses and insurances including lost luggage, cancellation and medical insurance.

Article 4: Payment

Unless agreed in writing by Asia Safari Travel, all payments will be made by bank transfer direct to our bank account.

Article 5: Cancellation

Cancellation by the Client after reservation will result in a cancellation fee according to the following general conditions:

For all programs except Peak period (stated below):

ü  Up to 60 days before arrival, cancellation fee equivalent to 10 % of the total invoiced amount.

ü  From 59 to 30 days before arrival, cancellation fee equivalent to 30 % of the total invoiced amount.

ü  From 29 to 16 days before arrival, cancellation fee equivalent to 60 % of the total invoiced amount.

ü  15 days and less before arrival, cancellation fee equivalent to 100 % of the total invoiced amount.

For all programs between 10th of December and 15th of January:

ü  Up to 60 days before arrival, cancellation fee equivalent to 10 % of the total invoiced amount.

ü  From 59 to 45 days before arrival, cancellation fee equivalent to 50 % of the total invoiced amount.

ü  Less than 45 days before arrival, cancellation fee equivalent to 100 % of the total invoiced amount.


If the outstanding balance of the trip is not paid 30 days before departure, Asia Safari Travel reserves the right to cancel your reservation without compensation.

If Asia Safari Travel is obliged to cancel a holiday for any reason whatsoever, all monies will be fully refunded.

Article 6: Changes or Alterations

All modifications requested by our clients less than 30 days (thirty days) before the commencement of our services, will be considered as a cancellation and the scale of charges under Article 5 of this document (see above) will apply.

Article 7: Responsibilities

Asia Safari Travel undertakes to do everything possible to satisfy our clients and provide the services confirmed in the programme. Asia Safari Travel cannot be held responsible in the case of failure or dissatisfaction with services provided by a third party, and consequently for any loss, injury, damage, delay, change of schedules, and any other irregularity beyond its control and/or suffered as a result of an act or default of any person or entity providing services to our clients. Any additional expenditure consequent to situations beyond our control such as delays, weather conditions, accidents, fatigue, natural disasters, political events (this list is not exhaustive) are the responsibility of our clients. The additional costs incurred by programme changes initiated by our clients will be borne by our clients. In the absence of signed agreement to these conditions, participation in the holiday implies acceptance of these conditions by our clients.  

Article 8: Formalities

Prior to the conclusion of the contract, Asia Safari Travel will inform our clients of the various administrative requirements for travel to Laos (for example passports, visas, etc.). Satisfaction of these requirements and the resulting costs are the sole responsibility of our clients.

Article 9: Hotels

International hotel regulations state that all rooms should be vacated by noon. Allocation of rooms to incoming guests is done from 14h00.

Article 10: AircraftBoarding Security Measures

Article EC 1546/2006 specifies the items prohibited in the cabin of aircraft. The list of items can be provided on receipt of a written request to our office.

Article 11: Complaints & Claims

All complaints and disputes related to our services will be primarily determined by negotiation and mutual understanding. In cases of continued and intractable disagreement, the dispute will be submitted to arbitration by the relevant local authorities. All complaints must be submitted in writing within 30 days (thirty days) after the date on which our services ended. Beyond this date no reimbursement, partial or total, will be considered.

Article 12 : Travel Insurance

Asia Safari Travel recommends our clients arrange adequate and comprehensive travel insurance before starting their holiday. The responsibility to do this rests solely with our clients.
